If you are researching the WhatsApp Business API for the first time, the pricing and approval process can look confusing. This guide explains, in plain language, how the API is priced, what Meta actually charges, what a platform such as WabaPanel charges, and the exact steps to get your business approved and sending messages.

What the WhatsApp Business API actually is

WhatsApp has three products. The consumer app is for personal chats. The WhatsApp Business app is a free mobile app for very small businesses, limited to one phone and manual replies. The two costs you will pay

Almost every pricing question comes from mixing up two separate bills:

  1. Meta's messaging charges. Billed by Meta directly to your WhatsApp Business account, based on the messages or conversations your business initiates. Rates depend on the recipient's country and the message category (marketing, utility, authentication). Service replies to a customer who messaged you first are generally free within the customer service window. Meta publishes and periodically revises these rates, so always confirm the current India rate card in Meta's official documentation before you budget.

  • A Facebook Page for the business, used as the display identity.

Step-by-step: from zero to first message

1. Choose your provider

Check that the provider uses the official Cloud API rather than an unofficial connection, and that the company behind it is verified with Meta. 6. Submit your first message templates

Anything you send to a customer who has not messaged you in the last 24 hours must use a template approved by Meta. Templates are reviewed in minutes to hours. Write them as specific, transactional, opt-in-respecting messages and include variables only where genuinely needed.

7. Connect your workflows

Once the number is live, set up what actually saves time: a shared inbox with agents, an AI chatbot trained on your product catalogue and FAQs, keyword auto-replies, broadcast segments, and a sales pipeline so enquiries do not get lost. This is the part that determines whether the API pays for itself.

How long does approval take?

In practice, number registration and template approval can happen the same day. Business verification is the variable step — commonly two to five working days when documents are clean, and longer if Meta asks for a resubmission. The green tick (Official Business Account) is a separate, discretionary decision by Meta and is not required to start sending messages.

Common reasons applications get delayed

  • The number is still active on the WhatsApp Business app.
  • Display name does not resemble the business name, or contains promotional wording.
  • Document name or address does not match the Meta Business account details.
  • Website is under construction, has no contact details, or is a social media page only.
  • Templates written as vague bulk promotions rather than clear, specific messages.

Keeping costs under control after launch

Three habits make the biggest difference. First, use utility templates for order, delivery and payment updates instead of wrapping everything as marketing. Second, respond inside the 24-hour customer service window, where replies are free. Third, keep your opt-in list clean: complaints and blocks lower your quality rating, which reduces your messaging limit and pushes up the effective cost of every campaign.

Is the WhatsApp Business API free?

Do I need GST to get approved?
